Automated production line inside a modern factory

Whether planned or short-notice, our engineering travel booking works

Manufacturing and Engineering Travel Management

When a production line stops, every hour costs money. An engineer may need to be on a factory floor in another country before the shift changes and they could be carrying tools that won’t fit a standard baggage allowance.

That’s no problem for us at Wayte Travel Management. We have spent over 45 years getting people where they’re needed. We book short-notice callouts at any hour, keep your regular routes and preferences on file and we can code every trip to the right plant, supplier or project.

Supplier audit and factory visit travel

Supplier audits and factory visits tend to follow a pattern: the same plants, the same suppliers and often the same people, visited quarter after quarter. Those sites may be located outside the main business hubs, in regions with few direct flights.

Your dedicated travel consultant keeps each traveller’s profile on file, along with the routes, hotels and preferences that work for each site. So the next visit to a supplier near Shenzhen or a plant in central Poland doesn’t start from scratch. We already know the best routing, the hotel nearest the factory and whether your auditor prefers an aisle seat.

For destinations with more complicated entry rules, we can include UK government travel advice and the visa requirements for the route when we quote, so your team has time to apply before they travel. We give guidance, while the visa applications themselves stay with the traveller and the relevant authorities.

Each trip is coded to the supplier, plant or audit programme, so your procurement and quality teams can see what their audit schedule really costs.

Engineers in hard hats on site during commissioning work

Engineer deployments and commissioning travel

Engineering deployments rarely come with much notice or a fixed end date. A commissioning job pencilled in for two weeks can easily run to six, while a sudden breakdown can mean an engineer needs to be on site by tomorrow.

A Wayte travel consultant can book the first available flight or train, add car hire for sites a long way from the nearest airport or station, then find accommodation as close to the job as possible. For open-ended work, we’ll book flexible fares and hotel rates that can be extended without starting again, then rework the trip home when the job is signed off.

Engineers rarely travel light. We’ll book a fare with the right baggage allowance for their tools and test equipment, or arrange extra baggage, and confirm what the airline allows before they set off.

Busy exhibition hall full of trade show stands

Manufacturing trade show and exhibition travel

A major trade show brings an entire industry to one city for a few days. Hotels near the exhibition centre fill up months ahead, prices climb as the show approaches and late bookers end up a long commute away.

So we book early and book together. Once you know who’s going, our group travel specialist can secure rooms near the venue and flights for your stand team and visitors, with names changed as plans firm up wherever the hotel and airline allow. Our rates benefit from over £9 billion of combined buying power, which helps when the whole industry is chasing the same rooms.

We look after the travel and accommodation rather than organising the show or your stand, but we’ll time arrivals around build-up days and opening hours, so your team is ready when the doors open.

Manufacturing and engineering travel support, 24/7

Production problems don’t keep office hours. A line can stop on a Saturday night and the engineer who can fix it may be in a different county or even country.

During office hours, you have a direct number for your business travel consultant, who already knows your sites, your engineers and your travel policy.

Outside office hours, our UK-based out-of-hours team takes over, 24 hours a day. They can book the first flight out, find a hotel near the plant and arrange car hire, so your engineer reaches the factory floor as soon as possible.

If something more serious happens while your people are away, every booking is logged in our Duty of Care Portal. We can quickly see who is affected and help get them home, which supports your duty of care to people working alone at unfamiliar sites.

Engineering travel policy and emergency callout approvals

A planned audit is not like an emergency callout. They need different rules. A supplier audit booked weeks ahead can go through the usual approval process. A callout at 02:00 can’t wait for a manager to wake up and sign it off.

So your business travel policy can treat them differently. Planned trips follow your standard rules on class of travel, hotel rate caps and approvals.

For emergency callouts, you can name the people allowed to authorise travel straight away, with pre-agreed limits on fares and hotels, so your engineer is booked and on the move without waiting for sign-off.

Every callout is still recorded and reported, so you can see afterwards what each emergency cost and who authorised it. This is true whether the trip is booked by phone or through Wayte Travel Online.

Manufacturing travel reporting by plant, supplier and project

Travel in the manufacturing sector is easiest to manage when you can see exactly where the cost goes. Wayte Travel Analytix uses the codes you set, such as plant, supplier, project or engineer, to show what each audit programme, installation or callout really costs once flights, hotels, car hire and extra baggage are added up.

That makes it easier to recharge travel to customers where your contracts allow. You can also compare the cost of emergency callouts with planned visits and see which suppliers or sites account for most of your travel spend. Reports also show how far ahead trips were booked and the CO₂ for each one.

If your business has offices in more than one country, their data is combined in one place and can be presented in a choice of currencies.

Manufacturing and engineering travel FAQs

Can you support visa requirements for supplier locations?

Yes. When we quote, we can include information on the visa and entry requirements for each destination, with UK government travel advice, so your team knows what’s needed and has time to apply. We give guidance and point you to the official sources, while the applications themselves are made by the traveller.

What if a project gets extended?

We extend the travel with the project. Hotel stays can be lengthened and flights home moved to the new finish date. If you suspect a job might overrun, tell us when you book: we can offer flexible fare options in advance, so changing the dates later costs far less.

Can you hold traveller and site preferences on file for repeat audits?

Yes. Traveller profiles, along with preferred routes and hotels for each site, are held securely by us, so repeat visits don’t start from scratch. We only keep information for as long as there’s a legitimate reason to, and we audit our records regularly, removing anything we no longer need.

Do you handle tooling and equipment as baggage?

Yes. We’ll book fares with the right baggage allowance for tools and test equipment, or arrange extra baggage, and confirm what each airline allows before your engineer travels.

Can you book same-day travel for an emergency callout?

Yes. Call your dedicated travel consultant on their direct number during office hours, or our UK-based out-of-hours team at any other time, and we’ll book the first practical flight or train, then arrange car hire and a hotel near the site. If your travel policy pre-authorises emergency callouts, there’s no wait for approval.
