We’re your short-cut to better travel management, so switch now

Make the Switch to Wayte Travel Management

Plenty of companies stick with a travel management company that has stopped delivering. Usually it’s because switching feels like more trouble than living with the problems: the call queues, the reports nobody reads and the rates that keep creeping up.

In practice, moving to Wayte Travel Management is far simpler than most people expect. We handle most of the work: setting up your account, loading your travellers’ profiles, building your travel policy into our systems and introducing your people to the team who’ll look after them. You tell us how you travel and what needs to change.

There’s no cost to moving to Wayte Travel Management and your dedicated travel consultant will be with you from the first conversation to the day you go live.

Signs it’s time to change travel management company

If any of these sound familiar, it may be time for a change.

  • You wait hours for a reply to a simple booking request
  • Nobody at your travel management company knows your business, so you have to explain your travel policy every time you call
  • When something goes wrong at an airport, your traveller ends up in a call queue
  • Your reports don’t answer the questions your Finance team actually asks
  • There’s nobody to call when a flight is cancelled out of hours
  • Your rates have stopped being competitive

None of these are unusual, and none of them have to be tolerated.

At Wayte, every client has a named and dedicated travel consultant on a direct line.

Our reports are tailored to the way your business works and we have UK-based out-of-hours support on hand 24/7.

Our people stay, too. The average length of service is over 14 years, so the person who knows your account this year is likely to know it next year as well.

How switching travel management company works, step-by-step

Switching to Wayte Travel Management follows six straightforward steps. Most of the work is done by us and your business travel consultant will guide you through each step, so you always know what’s happening next and what, if anything, we need from you.

We’ll agree a timetable at the start that works around your travel schedule, so nobody is left without support mid-trip.

1. Initial conversation about how you travel now

We start by listening. Tell us where your people go, how often, how you book your travel now and what isn’t working. It’s an informal conversation, by phone, video call or in person, with no obligation. By the end, we’ll both know whether Wayte is the right fit for your business and what a better travel programme could look like.

2. Review of current spend and travel policy

Next, we look at the numbers. If you can share recent travel spend, we’ll bring over 45 years’ worth of experience to reviewing where the money goes and where savings might be made. We can also look at your current business travel policy to see what’s working and what might be making life harder than it needs to be for you.

3. Proposal and account structure

We then put together a proposal built around what we’ve found: how your account will be set up, which services you’ll use, how billing and reporting will work and who will look after you. If you need cost centres, divisions or offices handled separately, we’ll build that in, too. Nothing is agreed until you’re happy with it.

4. Data and traveller profile transfer

Once you’ve agreed, we load your travellers’ details into our secure profile management system, including passport details, seat and meal preferences, loyalty memberships and regular routes. We also set up the cost centres and project codes you want captured on each booking. Trips already booked with your current provider stay with them until they’re complete.

5. Travel policy configuration and approvals setup

Your business travel policy is built into our systems, so it applies to every booking, whether it’s made by phone or through Wayte Travel Online. We’ll set up your approvers, cabin and hotel rules and any spending limits, then check them with you before you go live. If your travel policy needs updating, we can help with that, too.

6. Team introductions and going live

Finally, we introduce your bookers and travellers to their Wayte travel consultants. We share direct numbers and out-of-hours contact details and show anyone who wants it how to use the Wayte Travel Companion App. Once you go live, new bookings come to us and your account is fully up and running, with the same people looking after you every time.

What we need from you to switch to Wayte

Switching shouldn’t turn into a project in its own right, so we keep our requests to the essentials. To set up your account, we’ll ask for:

  • Your travellers’ details
  • Your current business travel policy, if you have one
  • Recent travel spend data, ideally covering the last year
  • Your key contacts, such as bookers, approvers and someone in your Finance team
  • Any cost centres, project codes or other references you want on each booking

Most of this already exists somewhere in your business. Your Wayte business travel consultant will tell you exactly what format works best. If something isn’t readily available, we’ll work around it rather than hold things up.

In practice, the time you spend on the switch is mostly the first conversation, a review meeting and a quick check of your set-up before we go live.

What happens to your existing bookings

The question we’re asked most about switching is what happens to trips that are already booked. The answer is simple: bookings made with your current provider stay with them and they’ll need to manage any changes or cancellations until those trips are complete.

What changes on day one with Wayte Travel

From the day you go live, your travellers and bookers have:

  1. A named Wayte travel consultant with a direct number, so there’s no switchboard or call queue
  2. Access to our UK-based out-of-hours team, 24 hours a day, for when plans change outside office hours
  3. Reports through Wayte Travel Analytix, built around your cost centres and codes
  4. Every booking logged in our Duty of Care Portal
  5. The Wayte Travel Companion App, with itineraries, live flight updates and boarding passes in one place
  6. Wayte Travel Online, for anyone who prefers to book for themselves

All of that is backed by over £9 billion of combined buying power, giving you access to rates usually kept for much larger companies. And because there’s no cost to switch, there’s no up-front bill to recover before you see the benefit.

What our clients said after switching

“We are very proud to have such a devoted partner, whose service gets our people to the right place, at the right time and with minimal fuss.”

“I’d like to praise your out of hours service, which I have used a number of times, and your excellent team member Nikkie, in particular…”

Switching travel management company FAQs

How long does switching take?

It depends on the size of your travel programme. We’ll agree a timetable with you at the start, built around any trips already in the diary, then your dedicated travel consultant will keep you updated at every step.

Is there a cost to move?

No. There’s no charge for switching to Wayte Travel Management. Setting up your account, loading your traveller profiles and building your travel policy into our systems are all part of the service.

Do our travellers need to do anything?

Very little. We’ll ask your travellers to check that their profile details are correct, and we’ll give them their business travel consultant’s direct number and our out-of-hours contact details. Downloading the Wayte Travel Companion App is optional, but it puts their whole itinerary in one place.

Are we tied into a contract?

We’ll explain our terms clearly at the proposal stage, so you know exactly what you’re agreeing to before you sign anything.
