Seamless hotel bookings, like-for-like and end-to-end
Corporate Hotel Booking and Accommodation
Booking a business hotel sounds simple until you’re doing it for a whole team. One person needs a room near the client’s office, another needs one near the airport and the project has just been extended by a week. Before you know it, rates have changed, travellers have booked on their own cards and nobody in Finance knows who stayed where.
Wayte Travel Management takes it all off your desk. Your Wayte consultant books the right property at the right rate, applies your travel policy as they go and keeps every stay on one record. When plans change, they change the booking, so your travellers don’t have to.

Corporate hotel rates and worldwide availability
We don’t rely on one source of hotel rates. Every search brings several together: rates we’ve negotiated with hotels directly, any rates your company has agreed to, published rates from a wide range of other suppliers and special rates available only through our travel partnerships.
Over £9 billion of combined buying power sits behind our partnership rates. So, whatever your company size, you can access prices usually kept for only the largest corporate accounts.
Your consultant compares them like-for-like and books the lowest available rate for the property and room standard you need. Like-for-like comparisons matter because a cheaper rate can turn out to be non-refundable, it might exclude breakfast or be for a different room or even a different location entirely. So we check what’s included before we book, not after.
That works the same way worldwide, whether it’s a regional UK city or a town on the other side of the world. And, because we benchmark our rates against industry best practice, you’ll know you’re paying a fair price, not just the first one that came up.

Hotel bookings that keep your travellers visible
When travellers book their own hotels, a company loses sight of three things at once: where its people are, what it’s spending and whether any of it is within policy. The booking lives on a personal card and in a confirmation email which only surfaces weeks later as an expense claim.
Booking through Wayte Travel Management puts every stay on one record, whether your consultant made it or a traveller booked it through Wayte Travel Online. That record feeds our Duty of Care Portal, so if something untoward happens locally, we can see straight away which of your people may be affected and help you reach them.
It also changes what you can negotiate. Once your hotel spend is in one place, we can see which cities and properties you use most and we can use that volume to secure better rates on your behalf.

Hotel amendments, extensions and out-of-hours support
Your requirements can often change at short notice. Meetings overrun, projects get extended and a cancelled flight can leave someone needing a room for the night.
Your Wayte travel consultant handles all of it. They’ll extend a stay, shorten it, move the booking to a hotel nearer the new meeting place or find somewhere by the airport when the last flight home has gone. Every change goes onto the same booking, so billing and reporting stay accurate without anyone chasing a receipt.
Outside office hours, the same number reaches our 24/7 UK-based out-of-hours team. They can find and book a room in the middle of the night, so a traveller stranded at 23:00 isn’t left in a departure lounge or queuing at a hotel desk with their own card. The new booking then appears in their Wayte Travel Companion App, with directions to the hotel from wherever they happen to be.

Hotel policy, rate caps and booking approvals
Your hotel policy can be as simple or as detailed as you need. You can set a per-night rate cap for each city or region, limit star ratings, list the hotels you’d like travellers to use and decide who can book outside those limits.
The policy is applied at the point of booking, whether a consultant makes the reservation or a traveller books through Wayte Travel Online. Your preferred hotels appear first. If a stay falls outside policy, the request goes by email to the right approver before anything is confirmed.
So, if someone asks us for an upgrade, their manager decides. We’ll contact you and confirm before the money is spent.

Consolidated hotel billing and spend reporting
Hotel bills are among the most fiddly items on any expenses claim. Rooms can be charged to your company account or you can pay at the desk.
You decide what the account covers, from room only to room, breakfast and an evening meal. It’s all settled centrally and appears on the same monthly statement as the rest of your travel.
Behind your invoices, Wayte Travel Analytix can break your hotel spend down by city, property, room rate, department and cost code. Each stay carries its CO₂ figure alongside the cost. You’ll see where the money goes, who is booking out of policy and where a negotiated rate would save the most next year.
Corporate accommodation by sector
Hotel needs vary more by industry than most people expect.
A financial services client meeting is all about fixed dates, a good quality hotel close to the client’s office, a consistent standard and every night billed to the right cost centre.
A marine crew rotation is very different; it often means finding rooms near a port or airport, booked at short notice for arrival times that depend on a vessel’s movements and the weather. Stays get extended when a vessel is delayed and several crew may need rooms at once, so flexible rates matter far more than the view.
See how we handle each on our Financial Services and Marine and Crew Rotation pages. We work well beyond these two sectors, too.
Corporate hotel booking and accommodation FAQs
Can we set a per-night hotel cap by city?
Yes. Rate caps can be set city by city or by region, so London can have a higher limit than Leeds. Anything over the cap goes to your nominated approver before it’s booked, whether the request comes through your consultant or through Wayte Travel Online.
What happens if a traveller needs to extend a hotel stay?
They call their Wayte consultant, or our out-of-hours team in the evening or over the weekend. We’ll ask the hotel to extend the booking, at the same rate where possible. If the hotel is full, we’ll find the nearest suitable alternative and move them. The extra nights go on the same booking.
Can hotels be billed back to a central account?
Yes. Billback sends room charges straight to your company account, so travellers check in and out without paying for the room themselves. You choose what’s included, and it’s all settled in your invoices. Learn more on our Reporting page.
Do you handle group hotel bookings?
Yes. A dedicated group travel specialist looks after group hotel bookings, whether it’s a project team or a vessel’s crew. They’ll arrange rooms, dates and billing as one coordinated booking and deal with the hotel for you when numbers change.
Can you match a hotel rate we’ve found elsewhere?
Often it isn’t the same rate. An online price can be for a different room type, exclude breakfast, be non-refundable or require payment at the hotel. Send us what you’ve found and we’ll compare it like-for-like. If it’s a genuine match that we can book, we’ll book it. If it isn’t, we’ll show you exactly where the difference lies.
Wayte Travel Management has access to the very best rates in the market and is able to provide competitive quotes from all avenues.
