The right ticket, on the right train, without the pain

Business Rail Travel and Corporate Train Booking

Wayte Travel Management consultants book business rail travel with the same care and commitment we bring to every other journey.

When you try to book rail travel yourself, you find you’re dealing with way-in-advance fares that can’t be changed, obscure off-peak restrictions, seat reservations and a return journey that depends on how long the meeting runs. Get it wrong and your traveller either pays twice, faces a long delay, or spends the journey home standing by the doors.

Your dedicated Wayte consultant finds the ticket that suits how the trip is likely to go, applies your travel policy and puts it on the same account as your flights and hotels. If the plan changes, we change the ticket. Simple as that.

UK and European corporate rail booking on one account

We book with every UK train operator, whether it’s a short hop between neighbouring cities or a cross-country journey with several changes. We also book across Europe, including Eurostar and the high-speed networks linking business centres such as Paris, Brussels, Amsterdam and Frankfurt.

Travelling in the States? No problem, we can book rail travel in the US too.

Your dedicated travel consultant looks at every ticket type on the route before booking. An advance fare is the cheapest way to travel when times are fixed. A flexible ticket costs more up front but can work out cheaper overall when a meeting might overrun. We match the ticket to how firm the plans are and book First Class where your policy allows it, so senior staff can work on the move.

Every rail booking goes onto the same account as your flights and hotels. There’s no separate rail supplier for you to deal with, no extra login and no additional receipts to chase. Travellers who’d rather book their own journey can do it through Wayte Travel Online, with the same policy rules applied.

Business rail booked as part of the whole trip

Most business trips involve multiple types of transport. A meeting in Frankfurt might mean a train to Manchester Airport, a flight, a transfer to the hotel, two nights’ stay and a train home at the other end.

Book those separately and you have a handful of confirmations, several sets of terms and nobody who can see how a delay on one leg affects the rest. That’s why:

  • We book them together.
  • We plan the rail journeys around your flights.
  • We also arrange your hotels.
  • We allow sensible connection times.
  • We put the whole journey into one itinerary.
  • And we send all the info to your Wayte Travel Companion App.

If the flight lands late, your consultant already knows which train is affected and can rebook it.

Rail ticket changes and refunds

Rail tickets carry more small print than you might think. Some can be changed before departure for a fee, some can be refunded if they aren’t going to be used, but some can’t. Travellers rarely have time to work out which is which.

Your Wayte consultant does that for you. If a meeting moves, we’ll change the ticket or rebook the journey. If a trip is cancelled, we’ll claim whatever refund the ticket allows and make sure it comes back to your account. And, if the last train back is cancelled late at night, our 24/7 UK-based out-of-hours team can find you another way home.

Rail travel policy and booking approvals

A travel policy can include a range of elements. Decide how far ahead tickets should be bought to get the better fares and choose who can travel First Class.

Your specific rules are applied as the booking is made, whether by your business travel consultant or through Wayte Travel Online. Anything outside policy goes by email to the right approver before it’s confirmed.

The train makes sense if you’re making a short hop between cities and want to avoid the slog of driving. But, on a long domestic route such as London to Aberdeen, flying may still be the better use of a working day. Your consultant will tell you straight which makes more sense, rather than applying the rule for the sake of it.

Rail spend reporting and carbon comparison

Rail spend shouldn’t sit in a separate spreadsheet. Wayte Travel Analytix shows it alongside your air and hotel spend, broken down by route, department, traveller and cost code, so you can see the full cost of a trip in one place.

Each journey carries its CO₂ figure too. That lets you compare rail with short-haul flights on the routes your people use most. The figures can support offsetting or feed straight into your sustainability reporting.

Reports also show how far in advance tickets are bought. If late bookings are pushing up your rail costs, you’ll see it in the numbers and your consultant can suggest how to bring them down.

Business rail travel by sector

Rail requirements vary a great deal from one industry to the next.

For a law firm, the train is often the everyday workhorse of business travel: London to Edinburgh, Leeds or Manchester for client meetings, on fixed times, often in First Class so the journey can be used for work, with every ticket billed to the right client or cost centre.

Healthcare and pharmaceutical staff often travel between hospitals, labs and research sites on schedules that change with a clinical trial. Flexible tickets and quick rebooking help, and so does accurate coding for later reporting.

See how we handle each on our Professional Services and Healthcare and Pharmaceutical pages. They’re just two of the many sectors we support.

Business rail travel FAQs

Do you handle group rail bookings?

Yes. Our dedicated group travel specialist books group rail travel, whether it’s a team heading to a conference or crew travelling to a port. They’ll book tickets and seat reservations together, keep everyone on the same trains where possible and handle the changes when numbers move.

How are rail tickets delivered?

Most tickets are e-tickets, sent straight to the traveller’s mobile device, so there’s nothing to collect, print or lose. The journey also shows in their Wayte Travel Companion App with the rest of the itinerary. If a traveller needs a paper ticket, because a route requires one or simply because they prefer it, we can usually arrange that instead, with a bit of advance warning.

Can you book European rail as well as UK?

Yes. As well as every UK train operator, we book Eurostar and the high-speed and national networks across Europe, plus rail in the US. European rail can be booked on its own or as part of a trip with flights and hotels, then it all goes on the same account and invoice. If you’re weighing up the train against a short flight to Paris or Brussels, your consultant can compare the two for you.

Add rail to your corporate travel programme

There’s no reason for rail travel to feel like a second choice. It can be more affordable and convenient than the alternatives. Tell us which routes your people use and how they book now, and we’ll show you how it would work on one joined-up account, with one consultant looking after every journey.
