Wherever your business takes you, we get you there

Corporate Flight Booking and Business Air Travel

Booking a business flight should take minutes, not half a morning of comparing fares, checking baggage allowances and hoping the fare you picked still allows changes if the trip moves.

Wayte Travel Management handles business flight booking end-to-end. From Economy through to First Class, held without commitment while approvals go through.

We also set your travellers up with every major airline loyalty scheme, so the points and rewards they earn on business trips land in their own account, rather than being lost because nobody thought to ask.

And, should things suddenly change, arrangements can be altered or rebooked by your Wayte Travel consultant, who picks up the phone rather than leaving you to sort it yourself online.

Whether it’s one flight or a full itinerary across time zones, we take the admin off your desk and get your people where they need to be.

Corporate flights across Economy, Premium Economy, Business and First

We book across the full range of classes, Economy, Premium Economy, Business and First using negotiated corporate rates, published fares and discounted fares from specialist suppliers.

Where it offers better value or availability than the traditional channels, we’ll look beyond the obvious options too, rather than limiting you to only what’s published.

This, combined with a team made up of simply the best people in the industry, means we are always competitive on price and way ahead of the field in service.

We have serious buying power! That brings us in line with the biggest global enterprise travel management companies.

Whatever it takes to help your travel budget go further.

It’s worth remembering that the cheapest fare isn’t always the right one. Saving £30 means nothing if the itinerary changes and the ticket can’t be altered.

So, our consultants weigh up all the variables: how likely the trip is to move, how the traveller needs to arrive and what the fare rules actually allow, not just what the fare costs today.

That’s the difference between a travel programme that looks cheap on paper and one that’s actually fit for purpose once you’re on the move.

Hold business flights without commitment

Corporate approvals rarely move at the speed of airline fare changes. A seat can sell out, or a fare can rise, while a booking is still working its way through sign-off. That’s why we hold fares wherever an airline allows it. This secures the seat and the price without committing you to paying, until the trip is actually approved.

Not every airline or fare class allows a hold and, when they do, some will hold for a few days while others only until the end of the working day.

When time is short we’ll tell you, so a fare doesn’t lapse.

That’s one less thing for you to worry about while the paperwork catches up with the travel plans.

Visa and entry requirements

When we quote for a trip, we can include the latest UK government travel advice for the destination and provide links so you can apply for visas and view entry requirements.

So, wherever you’re flying a colleague, you’ll know at the quoting stage whether they need an ESTA, not at the check-in desk.

We can point travellers to information on vaccinations too.

Flight changes, cancellations and 24/7 out-of-hours support

Our major point of difference is how proactive our team is. Rather than managing disruption, we always prefer to plan a way round it if possible.

So, for example, when a major system failure grounded flights nationwide, our consultants rerouted travellers via Eurostar to alternative airports in Brussels, then onward to JFK, rather than waiting for the queues to clear.

But, when something even we didn’t foresee happens, our out-of-hours support team swings into action.

You should still call the same number outside normal office hours, because you’ll reach a team who can rebook, reroute or find another way to get you moving, day or night.

Travellers with the Wayte Travel Companion App get live updates: gate changes, delays and cancellations, all pushed to your mobile device, while your boarding pass is saved in your mobile wallet.

We won’t leave you stuck waiting for the office to open, or queuing behind everyone else affected by the same disruption.

For anything more serious than a rebooking, a wider disruption affecting multiple travellers, or a situation where safety is the concern, that same 24/7 team works alongside our Duty of Care service, so nothing falls into the gap between a booking inconvenience and a genuine emergency.

Corporate air travel policy and booking approvals

We work closely with you to ensure your travel policy is applied at the point of booking, so there won’t be any nasty surprises afterwards in an expenses review.

When you book through Wayte Travel Management, your policy sits behind every fare we offer and every decision we make for you. That’s how a consultant booking on your behalf, or a traveller using Wayte Travel Online, our online booking tool, can see options that are actually within policy, rather than everything the market has to offer regardless of cost or class.

Your flight policy can set limits on fares, journey times and cabin class, with different permissions for different roles.

If a request falls outside that policy, it goes by email to the right approver rather than being booked automatically.

That means you’re always in control of your own agenda and budget, without adding another layer of admin to every single booking.

Air spend and carbon reporting

We monitor and report on a range of easily-missed metrics to make sure your travel budget goes further and that your environmental footprint is accounted for. For example:

Detailed reporting

We report on air spend by route, by carrier and by traveller, alongside total expenditure breakdowns you can hand straight to Finance. So you can see exactly where your money’s going rather than working it out from a stack of invoices.

Carbon and CO₂ reporting

Every trip comes with a CO₂ emissions figure, so your travel programme’s environmental impact is visible in the same reports as the spend. This gives you what you need to offset it or feed into wider sustainability reporting.

Custom reporting

Your reports need to be fit for your purposes. Speak to the Wayte Travel reporting team to see how our flexible reporting can be tailored to meet the requirements of your Finance and HR teams.

Business flight booking by sector

Crew rotations and financial services meetings need very different things from corporate air travel.

A short financial services trip for a client meeting is a different proposition entirely: allowing for standard weight allowances, a fixed departure and return time and less danger of a date or time change.

A crew rotation often means larger baggage allowances, flexible or fully changeable tickets and rerouting at short notice when a rig rotation shifts or the weather changes.

Airlines apply their own cancellation and change rules regardless of sector and circumstances, so we match the fare type to the job.

To see these differences at work, visit our Financial Services page and Marine and Crew Rotation page.

Corporate Flight Booking and Business Air Travel FAQ

Can we book flights online ourselves?

Yes. Using Wayte Travel Online allows your travellers or bookers to arrange straightforward flights themselves, with your policy rules applied.

Your Wayte Travel consultant is still here for the more complex arrangements whenever you pick up the phone.

Why might a fare we’ve found online look cheaper than yours?

Often it isn’t the same fare. Prices change by the minute and seats come and go as other people book them. A comparison site may also be showing a fare with no flexibility or baggage allowance.

We’ll always compare like for like and explain exactly what you’re getting, including what happens if your plans change.

Do travellers keep their own airline loyalty points on business bookings?

Yes. We set travellers up with the major airline loyalty schemes as part of onboarding, so the points and upgrades they earn on business trips go to them personally.

Can you manage group or crew bookings, not just individual travellers?

Yes, we have a dedicated group service for exactly this. Handling group bookings comes with its own considerations around baggage, seating and changes. We manage all of those as a single coordinated booking rather than several separate ones.

What happens if a flight is cancelled overnight?

Our out-of-hours team picks it up. Call the number you’d normally use during the day and a consultant will look at your options and get you rebooked.

You won’t have to wait until morning, nor will you have to deal with an airline’s own customer service queue.

You’ll find more about this on our Risk Management page.

Can you handle multi-leg international itineraries?

Yes, multi-leg and multi-carrier international itineraries are something our consultants handle regularly, particularly for sectors like marine and energy where crew and personnel often need routing through several stops to reach a remote location.

We build the itinerary around how the traveller actually needs to move, not just the shortest route on paper.

You’ll find more about this on our Marine and Crew Rotation page.

Do you charge a booking fee per flight?

We charge a fee per trip, per person, based on the final destination, not on the number of legs in the journey. A multi-stop itinerary to one destination costs the same booking fee as a single direct flight to the same place.

Can you book flights outside our travel policy?

Yes, when it’s genuinely needed. For example:

  • Client-facing seniority: where the traveller’s cabin class signals something to the client relationship, particularly in sectors like financial or professional services where business class flight booking for companies often makes the clearest commercial sense.
  • Medical or accessibility need: where a documented condition requires extra space, an aisle seat or a specific cabin class, regardless of what the standard policy allows.
  • Availability: where a policy-compliant fare or class simply isn’t available on the only viable flight for the trip, especially at short notice.
  • Route or itinerary complexity: where the standard policy wasn’t designed with a multi-leg journey or remote location in mind (marine and energy crew rotations are the obvious example).
  • Genuine last-minute urgency: where a trip is booked so close to departure that only a higher-fare class is left and the alternative is not travelling at all.

Anything outside policy gets flagged for approval, so the right person signs off before it happens, not after.

You can discover more about this on our Professional Services page, or our Financial Services page.
